Credit & Payment Terms
Clear, written payment terms from the proforma invoice onward: T/T, L/C at sight, PayPal for samples, and staged credit for established repeat customers.
How payment works
| Sample orders | PayPal, T/T or card link. Sample cost credited against the bulk order. |
|---|---|
| Standard bulk order | 30% deposit with the purchase order, 70% against the copy of the bill of lading. |
| Documents against payment | Where the buyer requires it, 70% against the document set presented through the banks. |
| Letter of credit | L/C at sight, confirmed by a bank acceptable to both parties. |
| Repeat customers | Staged credit terms available after a documented trading history. |
| Currency | USD, EUR or CNY, stated on the proforma invoice. |
| Price validity | Quotations held for 90 days unless a raw material index moves more than 5%. |
What protects both sides
A purchase order with a specification
Price, specification, quantity, packing, dates and terms in one document. Everything else refers back to it.
Deposit released against the PP sample
The deposit is scheduled against the approved pre-production sample, not against a verbal go-ahead.
Named merchandiser
One person owns your order from specification to shipment, and answers questions in writing.
Weekly production reports
A short written update each week covering cutting, sewing, inspection and the shipping booking.
Inspection before final payment
The final inspection report is issued before the balance is due, so the payment follows the evidence.
Third-party inspection rights
You may appoint any inspection company at any stage, scheduled alongside production.
Payment questions
What is your minimum order quantity (MOQ)?
Our standard MOQ is 300–1,000 pieces per style, mixed sizes. Styles using stock fabric can start from 300 pieces; a fully custom knit or dye lot usually starts at 1,000 pieces per colour. Tell us your target quantity and we will confirm what is achievable.
How long does sampling take?
A development sample takes 5–7 working days after artwork and fabric are confirmed. A full size set takes 10–12 working days. Sample cost is credited against the bulk order.
What is the lead time for bulk production?
Bulk production runs 15–45 days from deposit and approved pre-production sample, depending on quantity, fabric availability and trim lead times. We confirm the schedule in writing before you pay the deposit.
Which payment terms do you accept?
T/T (30% deposit, 70% against the copy of the bill of lading), L/C at sight, and PayPal for samples. Terms are confirmed in the proforma invoice.
Can you handle fabric, labels and packaging as well?
Yes. Fabric knitting, dyeing, cutting, sewing, printing, embroidery, labels, hangtags and retail packaging all sit inside our own supply chain, so a single purchase order covers the finished, retail-ready product.
How do you control quality?
Every order passes an incoming fabric inspection, an in-line check at 30% and 70% of the run, a final AQL 2.5 inspection before packing, and a shipment check against the approved sample and packing list.
When can we move to credit terms?
After a documented trading history — typically three completed orders without dispute — we can offer staged terms. The structure depends on order value and shipping frequency and is agreed in writing before the following order.
What happens if a raw material price moves?
Quotations hold for 90 days. After that, or if the raw cotton or polyester index moves more than 5%, we re-quote the fabric component and show the change rather than absorbing it silently.
Payment terms that both sides can live with
Payment terms are a risk allocation. A buyer wants to pay after inspecting; a factory wants to be paid before committing fabric. The standard structure — a deposit before production and a balance against shipping documents — splits that risk at the point where both sides have something real to lose.
Why the balance sits against the bill of lading
At the moment the goods are loaded, the factory has consumed the fabric and the labour, and the buyer has a completed, inspected shipment. Paying the balance against the copy of the bill of lading gives the buyer a shipping document in hand before the money moves, and gives the factory certainty that the goods will not be released without payment.
Letters of credit and when they help
An L/C at sight suits larger orders and first transactions where neither party has a trading history. It costs a bank fee on both sides, so it is rarely worth it below about USD 50,000. Above that it turns a trust problem into a documentation problem, which is a better class of problem.
Price validity and raw materials
Cotton, polyester and elastane prices move. A quotation that holds forever is either padded or will not survive a proper review. Ours hold for 90 days, and beyond that we re-quote the fibre component against the index and show the underlying change rather than renegotiating the whole price.
Disputes and how to avoid them
Most payment disputes in apparel are specification disputes in disguise: the goods are fine but not what the buyer believed was ordered. That is why the purchase order lists the specification and the approved sample is retained by both parties. When the reference is physical, a disagreement becomes a measurement rather than an opinion.
